1. Intern
The participating college student (the “Intern”) agrees to the following terms and conditions of Accelerate (the “Program”):
- The Intern will undertake a research Internship based on the approved proposal and confirms that the information contained therein accurately represents their involvement in the Program:
- The Intern understands and agrees to their participation in the Internship as outlined in the research plan and its timelines and expectations;
- The Intern agrees to notify the participating professor (hereby known as “the Academic Supervisor”) immediately upon the occurrence of any changes in their ability to participate;
- The intern acknowledges that the project is linked to an area of expertise the Intern wishes to further develop through the project, and that the Intern has or will participate in the elaboration of parameters of the research project.”
- The Intern acknowledges that submission of a proposal constitutes a request for funding and that Mitacs provides funding for the research Internship at its discretion following a peer review process that is carried out or approved by Mitacs.
- The Intern will adhere to all Program rules and requirements.
- The Intern will obtain appropriate documentation, including, but not limited to, appropriate certification or approval for the use of humans, animals, and/or biohazards, and will obtain any required environmental permits in accordance with the requirements of the college or polytechnic where the Intern is registered or appointed as a full-time student (the “College”).
- The Intern will interact with the participating host organization (the “Host Organization”) and the Academic Supervisor as outlined in the approved proposal.
- The Intern will retain full-time student status at the College for the entirety of the Internship.
- The Intern will read and adhere to the Program Code of Conduct, and will read and sign the Intern Consent document regarding Mitacs’ use of the personal information in the proposal.
- The Intern will obey federal, provincial or territorial, municipal, and other applicable laws that govern the Internship.
- The Intern acknowledges that Mitacs cannot assume liability for accidents, illnesses, or losses that occur during or as a result of their Program participation.
- The Intern agrees to adhere to any College policies regarding health, safety, and/or travel requirements.
- The Intern acknowledges that they are responsible for obtaining appropriate insurance coverage during the Internship, as required.
- The Intern acknowledges that payment of the Program’s financial award (in the form of a research grant) to the College can only be made after all the following conditions are met:
- Mitacs’ approval of the research proposal and eligibility of Internship(s);
- Mitacs’ receipt of payment from the Host Organization;
- Continued support from Mitacs’ funders.
- The Intern will not begin the Internship until the following conditions have been met:
- Mitacs’ approval of the research proposal and eligibility of Internship(s);
- Mitacs’ receipt of payment from the Host Organization;
- Payment of the Program’s financial award to the College.
- The Intern acknowledges that they have read Mitacs’ cancellation policy and understand that if the Host Organization’s contribution is not received, it may result in the Internship’s cancellation.
- The Intern acknowledges that the Intern stipend/salary is subject to the College’s policies and that benefits may be deducted.
- Any intellectual property generated from the Program is bound by the policies of the College, unless a separate intellectual property agreement has previously been successfully negotiated between the College, the Host Organization and, where applicable, the Intern. Mitacs makes no claim to intellectual property.
- The Intern will acknowledge Mitacs and its funders in any research results that are published as an outcome of the Intern’s participation.
- The Intern will provide the following to Mitacs:
- A final report that is approved and signed by the Academic Supervisor and the representative of the Host Organization;
- An exit survey no later than 30 days after the Internship ends;
- Any information required by Mitacs to fulfill the monitoring, reporting, and compliance requirements of its funders.
2. Academic Supervisor
The participating academic supervisor (the “Academic Supervisor”) agrees to the following terms and conditions of Accelerate (the “Program”):
- The Academic Supervisor will supervise a research internship (the “Internship”) based on the approved proposal and confirms that the information contained therein accurately represents their involvement in the Program.
- The Academic Supervisor understands and agrees to the research plan and its timelines and expectations, as outlined in the approved project.
- The Academic Supervisor agrees to contact Mitacs and the relevant host organization (the “Host Organization”) immediately upon the occurrence of significant changes to the participating college student (the “Intern”), the research proposal, or the Internship budget.
- The Academic Supervisor acknowledges that submission of a proposal constitutes a request for funding and that Mitacs provides funding for the Internship at its discretion following a peer review process that is carried out or approved by Mitacs.
- The Academic Supervisor will adhere to all Program rules and requirements.
- The Academic Supervisor is a faculty member at the institution listed in the proposal (the “College”) and will remain as such for the entirety of the Internship as outlined in the approved proposal;
- The Academic Supervisor is permitted to engage in research activities as part of their faculty appointment;
- The Academic Supervisor will obtain and/or adhere to Tri-Council requirements regarding appropriate certification or approval for the use of humans, animals, and/or biohazards, and obtain any required environmental permits in accordance with the requirements of the College;
- The Academic Supervisor will supervise and interact with the Intern as outlined in the approved proposal;
- The Academic Supervisor will obey federal, provincial or territorial, municipal, and other applicable laws that govern the Internship.
- The Academic Supervisor acknowledges that Mitacs cannot assume liability for accidents, illnesses, or losses that occur during or as a result of the Academic Supervisor’s Program participation.
- The Academic Supervisor agrees to adhere to any College policies regarding health, safety, and/or travel requirements.
- The Academic Supervisor acknowledges that they are responsible for obtaining appropriate insurance coverage during the Internship, as required.
- The Academic Supervisor acknowledges that payment of the Program’s financial award (in the form of a research grant) to the College can only be made after all the following conditions are met:
- Mitacs’ approval of the research proposal and eligibility of Internship(s);
- Mitacs’ receipt of payment from the Host Organization and issuance of an award letter to the College;
- Continued support from Mitacs’ funders.
- The Academic Supervisor acknowledges that the Internship will not begin until Mitacs has received the participating Host Organization’s funding contribution as outlined in the budget and invoicing schedule in the approved proposal, confirmed the Internship start date(s), and issued an award letter to the College.
- In the event that the Host Organization’s contribution is held at the College, the Academic Supervisor will facilitate the transfer of funds to Mitacs.
- If the Host Organization’s contribution is held at the College under an existing research agreement, the Academic Supervisor will facilitate an amendment that recognizes the Internship as an eligible component of the research agreement.
- The Academic Supervisor acknowledges that he/she has read Mitacs’ cancellation policy and understands that if the Host Organization’s contribution is not received, it may result in the Internship’s cancellation.
- In the event that the Host Organization’s contribution is held at the College, the Academic Supervisor will facilitate the transfer of funds to Mitacs.
- The Academic Supervisor acknowledges that the Intern stipend/salary is subject to the College’s policies and benefits may be deducted.
- Any intellectual property generated from the Program is bound by the policies of the College, unless a separate intellectual property agreement has previously been successfully negotiated between the College, the Host Organization, and (if applicable) the Intern. Mitacs makes no claim to intellectual property.
- Any intellectual property generated from the Program is bound by the policies of the University, unless a separate intellectual property agreement has previously been successfully negotiated between the University, the Host Organization, and (if applicable) the Intern. Mitacs makes no claim to intellectual property.
- The Academic Supervisor will acknowledge Mitacs and its funders in any research results that are published as an outcome of the Academic Supervisor’s Program participation.
- The Academic Supervisor will provide the following to Mitacs:
- A signature on the final report that is assembled and submitted by the Intern;
- An exit survey no later than 30 days after the Internship ends;
- Information required by Mitacs to fulfill the monitoring, reporting, and compliance requirements of its funders.
3. Host Organization
The participating host organization, whether for-profit or not-for-profit, (the “Host Organization”) and its representative(s) agree to the following terms and conditions of Accelerate (the “Program”):
- The Host Organization will undertake a research internship (the “Internship”) based on the approved proposal and confirms that the information contained therein accurately represents their involvement in the Program.
- The Host Organization understands and agrees to the research plan and its timelines and expectations, as outlined in the approved proposal.
- The Host Organization will notify the Academic Supervisor and Mitacs immediately upon the occurrence of challenges or changes that may affect the Internship participants, the research plan, or the Internship budget from those outlined in the approved project.
- The Host Organization agrees to provide supervision, resources, and information to the participating college student (the “Intern”) enrolled or appointed at the participating Canadian college or polytechnic (the “College”), as outlined in the approved proposal.
- The Host Organization acknowledges that submission of a proposal constitutes a request for funding and that Mitacs provides funding for the Internship at its discretion following a peer review process that is carried out or approved by Mitacs.
- The Host Organization is responsible for ensuring that the proposal contains no confidential information. The Host Organization acknowledges that the proposal will be subject to review by third parties and that select information will be published on Mitacs’ website (upon proposal approval) and made public by Mitacs’ funders.
- The Host Organization agrees to the following Program rules and requirements:
- The Internship will not begin until Mitacs has:
- Approved the proposal;
- Received payment from the Host Organization;
- Been notified of the Internship start date.
- The Host Organization will interact with the Intern as outlined in the approved proposal.
- The Host Organization will obey federal, provincial or territorial, municipal, and other applicable laws that govern the Internship.
- The Internship will not begin until Mitacs has:
- The Host Organization understands that, under this application, they have access to personal information about the Intern(s), and agrees not to share the information with any third party (i.e., any party not involved with this application) without written consent from the Intern(s), and will take reasonable precautions to protect said personal information.
- The Host Organization acknowledges that Mitacs cannot assume liability for accidents, illnesses, or losses that occur during, or as a result of, the Host Organization’s participation in the Internship.
- The Host Organization agrees to adhere to the College’s minimum standards and/or policies regarding health, safety, and/or travel requirements.
- The Host Organization acknowledges that they are responsible for ensuring that they have appropriate insurance coverage during the Internship, as required.
- The Host Organization agrees to provide access to the site of project work (industrial interaction or research site) for an in-person assessment at Mitacs’ discretion.
- The Host Organization agrees to the financial commitment and invoice schedule for this project, as detailed in the approved proposal.
- The Host Organization acknowledges that payment of the Program’s financial award (in the form of a research grant) to the College can only be made after all of the following conditions are met:
- Mitacs’ approval of the research proposal and eligibility of Internship(s);
- Mitacs’ receipt of payment from the Host Organization;
- Continued support from Mitacs’ funders.
- The Host Organization acknowledges that the Internship will not begin until Mitacs has received the Host Organization’s funding contribution, as outlined in the budget and invoicing schedule in the approved proposal, and issued an award letter. The Host Organization agrees to the following payment terms:
- Mitacs will invoice the Host Organization upon receipt of the proposal, in accordance with the proposal’s budget. This invoice is not a guarantee of funding or proposal approval.
- Payment of the Host Organization’s contribution is due upon receipt of the invoice. The contribution must be paid directly to Mitacs in Canadian currency, as outlined in the invoice.
- In the event that the Host Organization contribution is held at the College, the Host Organization will support the transfer of funds to Mitacs.
- If the Host Organization contribution is held at the College under an existing research agreement, the Host Organization will facilitate an amendment that recognizes the Internship as an eligible component of the research agreement.
- The Host Organization acknowledges that they have read Mitacs’ cancellation policy and understands that if their contribution is not received, it may result in the Internship’s cancellation.
- Any intellectual property generated from the Program is bound by the policies of the College, unless a separate intellectual property agreement has previously been successfully negotiated between the College, the Host Organization, and (if applicable) the Intern. Mitacs makes no claim to intellectual property.
- The Host Organization will acknowledge Mitacs and its funders in any research results that are published as an outcome of their Program participation.
- The Host Organization will provide the following to Mitacs:
- A signature on the final report that is assembled and submitted by the Intern;
- An exit survey no later than 30 days after the Internship ends;
- Information required by Mitacs to fulfill the monitoring, reporting, and compliance requirements of its funders.
4. College or Polytechnic
The participating college or polytechnic (hereby known as the “College”) agrees to the following terms and conditions of Accelerate (hereby known as the “Program”):
- The College confirms that the information contained in the approved proposal accurately represents their involvement in the Program, the involvement of the participating faculty members and students (the “Intern”), and their intention to administer the resultant research internship (the “Internship”, or “Internships”).
- The College acknowledges that submission of a proposal constitutes a request for funding and that Mitacs provides funding for the Internship at its discretion following a peer review process that is carried out or approved by Mitacs.
- The College will adhere to Tri-Council Federal Granting Agencies (the “Tri-Council”) and institutional requirements regarding appropriate certification or approval for the use of humans, animals, and/or biohazards, and environmental permits.
- The College is responsible for ensuring that applicable certification is in force during the Internship, and must provide proof of certification if requested by Mitacs.
- The College acknowledges that Mitacs cannot assume liability for accidents, illnesses, or losses that occur during or as a result of the Program participation of the College’s faculty members or Interns, and shall indemnify and hold harmless Mitacs and its funding partners for any legal issue arising out of the College’s participation in the Program.
- The College acknowledges that payment of the Program’s financial award (in the form of a research grant) to the College is contingent upon the following:
- Mitacs’ approval of the proposal;
- Mitacs’ receipt of payment from the Internship’s host organization (the “Host Organization”) and issuance of an award letter to the College;
- Continued support from Mitacs’ funders.
- The College holds fiduciary responsibility for the financial award, agrees to adhere to Tri-Council guidelines on the use of funds, and will spend the financial award according to the Mitacs guidelines outlined in the proposal budget and award letter.
- The College agrees to disburse the full amount of the financial award as instructed in the Mitacs award letter and in accordance to Tri-Council guidelines on the use of funds, and acknowledges that the Academic Supervisor of the Internship is responsible for adhering to Tri-Council guidelines on the use of funds.
- The College agrees to complete and submit a Form 300 financial report detailing the use of funds for each Internship.
- The College agrees to maintain proper and accurate accounts and records of the Internships for a minimum of two (2) years after the date of completion of the Internships.
- The College acknowledges that Mitacs may audit, or cause to have audited, the accounts and records of the College and to have a right of access to the books and accounts and premises of the College in relation with the delivery of the Program.
- The College shall release to Mitacs, upon request and in a timely manner, for the purpose of releasing to the Auditor General of Canada, all records held by the College, or by agents or contractors of the College, relating to the relevant Internship and the use of distributed payments towards said Internship; and such further information and explanations as the Auditor General or anyone acting on behalf of the Auditor General may request relating to any part of these terms and conditions or the use of funds relating to the Program.
- The College shall monitor and follow regular reporting requirements that will enable Mitacs to fulfill its reporting requirements under its funding agreements.
- The College shall ensure it complies with all federal, provincial, territorial, municipal and other applicable laws governing the College or the Internship, or both, including without limitation, statutes, regulations, by-laws, rules, ordinances and decrees.
- Any intellectual property generated from the Program is bound by the policies of the College, unless a separate intellectual property agreement has previously been successfully negotiated between the College, the Host Organization and, where applicable, the Intern. Mitacs makes no claim to intellectual property.
- The College hereby consents to being contacted by Mitacs or its funding partners in relation to success stories, announcements, ceremonies, and other communications activities, and the College shall:
- Acknowledge Mitacs and the funding partners’ role in funding the Program;
- Consent to a public announcement of an Internship offered through the Program by or on behalf of the funding partner in the form of a news release and/or event;
- Consent to the display of promotional material and/or signage provided by the funding Host Organization at the event.
